LeagueBot is a WhatsApp league manager operated by the LeagueBot team. This policy explains, in plain language, what data we collect when you use leaguebot.app or add LeagueBot to a WhatsApp group, why we collect it, and the choices you have. Short version: we collect the minimum needed to run your league, we never sell your data, and you can ask us to delete everything at any time.
When LeagueBot is added to your WhatsApp group, it processes group messages to detect and record match results. We keep a verbatim copy of the message that reported each result alongside that match — that is your league's audit trail, and it lives as long as the match does. All other group messages are logged for 90 days (so we can diagnose misreads and recover lost results) and then permanently deleted. We process the player names, match scores, and dates needed to maintain your league table, plus the WhatsApp phone numbers of league members so results can be attributed to the right players. This data is stored in our database and used to generate your league standings, player statistics, and your league microsite. We do not use your group chats for any other purpose, and we do not train general-purpose AI models on your messages.
If you contact us through the website contact form, by email, or by WhatsApp, we keep your name, email address or phone number, and the content of our conversation. We use this only to respond to you, to provide support, and — if you become a customer — to manage your subscription. We do not add you to marketing lists without asking.
leaguebot.app uses Google Tag Manager and Google Analytics to understand which pages people visit and where they come from. These tools set cookies and collect standard technical data (IP address, browser type, device, referring page) in aggregated form. We use this data to improve the website, nothing else. Google processes this data under its own privacy policy, which you can find at policies.google.com/privacy.
We do not ask for or store payment card details on our own systems (payments, if applicable, are handled by our payment provider), we do not collect biometric or precise-location data, and we do not build advertising profiles on you.
We do not sell or rent your personal data. We share it only with: (1) infrastructure providers that host and secure LeagueBot (for example, our cloud hosting, database, and messaging providers, including Meta/WhatsApp, which processes messages under the WhatsApp Business terms and its own privacy policy), and (2) authorities where we are legally required to. If LeagueBot is ever sold or merged, data would transfer as part of that transaction, with notice to you.
Match results posted in your group are interpreted by language models so you can post results in natural language. These models run under agreements that prohibit them from being used to train the provider's general models. Only the minimum message content needed to record a result is sent for processing.
Verbatim copies of match-result messages are kept with their match for as long as the league exists — that is the audit trail that makes corrections and disputes trustworthy. All other group messages are permanently deleted after 90 days. League data (players, results, standings) is kept while your league is active, and for up to 12 months after it ends, so returning leagues keep their history. Contact-form and email correspondence is kept for up to 24 months. Aggregated, anonymous analytics data may be kept indefinitely. You can request deletion at any time (see below).
Depending on where you live (including under the GDPR and similar laws), you have the right to access the personal data we hold about you, correct it, export it, restrict or object to its processing, and have it deleted. League admins can remove their league and all of its data at any time; individual players can ask us to remove their results and stats from a league microsite.
To exercise any of these rights, email hello@leaguebot.app from the address or WhatsApp number associated with your league. We respond within 30 days, usually much faster. You can also disable Google Analytics cookies in your browser, or block them with any standard cookie-blocking tool, without affecting how LeagueBot works.
Data is stored encrypted in transit and at rest with a major cloud provider, and access to production data is limited to the small team that operates LeagueBot. No system is perfect, and if a breach ever affects your data, we will notify affected users promptly. We may update this policy as LeagueBot evolves; the date at the top shows the current version, and material changes will be announced in active leagues.
